What's new — 2026 CRM refresh

VertaFlow had a big year. We rebuilt the app from the ground up and added the front-desk tools real businesses asked for. Here’s what’s new.

Every workspace now shows only its own vertical’s screens. The agency menu no longer leaks restaurant, retail, or maker screens (Floor, Kitchen, Kiosk, Reception, Catalog, Orders, Inventory, Packages) — each vertical gets a curated set of the tools it actually uses.

We also removed the in-app “View as” vertical switcher (and the underlying skin-preview mechanism). There’s no longer any way to flip the running app into another vertical; a workspace always renders as its own business type. Resellers and agencies who need to support or demo multiple verticals now use a separate per-vertical demo login — one real account per vertical (provisioned via scripts/provision-reseller-demo-tenants.mjs) — instead of the old in-app lens. See How verticals work.

A rebuilt, mobile-first app — now at os.vertaflow.io

The whole CRM was rebuilt to be fast and to feel right on a phone. It’s a single, snappy app that cold-starts instantly — no slow first load, no spinner staring back at you. Lists, forms, and detail pages all work the same on a phone as they do on a desktop.

The rebuilt app lives at os.vertaflow.io (“your business OS”). Existing users sign in at os.vertaflow.io/signin. The older app (app.vertaflow.io / dash.vertaflow.io) still works on the same account, and new trials still start through the older signup funnel — see Create your account and Sign-in methods.

Stand an iPad up at your counter and let clients check themselves in. The kiosk scan station reads a client’s card, recognizes them, and routes them to the right action automatically — redeem a session, check in, or see their loyalty. After each person it resets itself and waits for the next.

Every scan also streams to a live Reception board so the front desk can watch check-ins in real time — and you can switch the kiosk into “require front-desk approval” mode so the desk approves each scan before it’s redeemed. See the kiosk page.

The CRM now has its own Contracts area — keep a record of each service agreement with a client, set the amount and terms, and move it through draft → sent → signed → void. (Today it’s record-keeping with manual status; in-app e-signature and pay-on-sign are a planned future phase.)

Every client now has one digital membership card — a single QR that does everything. Show it at the desk or scan it at the kiosk to pull up identity, loyalty, packages, and check-in. Lost a card? Rotate it in one click and the old one stops working.

Loyalty & rewards got an owner config you control. Set your points-per-dollar earn rate, an optional redeem value, and a named tier ladder like Bronze / Silver / Gold. Enroll clients in a click (or create them on the fly), and let points redeem right at the kiosk.

  • Package templates — set up your session packs and memberships once, then assign them fast.
  • Configurable low-stock alerts — pick the threshold that means “reorder” for you, per item.
  • Billing addresses on invoices — capture a proper bill-to address on every invoice.
  • Refunds — issue refunds against payments without leaving the invoice.
  • Per-vertical navigation — the sidebar speaks your industry’s language and shows the tools your business actually uses.
  • Per-vertical demo logins — resellers get a separate real login per vertical to support or demo each business type natively.
