Onboarding & intake

VertaFlow has two onboarding surfaces. The setup checklist gets your workspace working. The intake form captures the details we use to build your brand collateral. They’re separate — do them in any order.

Open Getting started from the navigation footer, or go to /onboarding. It shows four steps, each with a checkmark that fills in automatically as you complete it:

  1. Set brand color + upload logo — your workspace appearance. Done in Settings.
  2. Connect Stripe — so you can collect payments from clients. Done in Settings.
  3. Configure email — set your reply-from address so invoices and notifications come from you. Done in Settings.
  4. Invite your team — add staff so they can collaborate in the workspace.

The header shows your progress (e.g. “2 of 4 steps complete”). When all four are done, a “Your workspace is fully set up” banner appears with a link straight to your dashboard.

The business intake form (/onboarding/intake)

This is a single-page form (not a multi-step wizard) that captures your company profile. We use it to populate the 20+ pages of brand collateral that ship with a website build. It has four sections:

  1. Company name — your business name.
  2. Where do you work? — pick one:
    • We serve a defined area → list your service-area cities, comma-separated (e.g. “Syracuse, Utica, Liverpool”).
    • We have a fixed location customers visit → enter your street address.
  3. Services you offer — add a row per service (name + one-line description). Use Add service for more; remove with the trash icon. At least one is required to submit.
  4. Brand voice & USPs — a short description of your tone (~200 characters) and your top three differentiators, one per line.
  • Save and continue later stores what you’ve entered without marking the form complete — come back any time.
  • Submit intake validates that you’ve filled in your company name, picked a location type, and added at least one service, then marks it complete and sends you to your dashboard.

Have these handy before you start: your exact business name, your service-area cities or street address, a short list of services with one-line descriptions, and a sentence or two on how you’d describe your brand’s voice and what makes you different.
